Context Library Template

The structured template I use when I set up a Claude Project, Custom GPT, or Gemini workspace for a team. 10 sections that, filled in honestly, produce dramatically better AI output than any amount of prompt engineering.

Why context beats prompt engineering

Most teams trying to improve their AI output are tweaking prompt wording. That is the wrong lever. The single biggest quality difference between a team getting generic AI output and a team getting genuinely useful AI output is not prompt craft, it is the context they load into the tool.

A context library is a structured document, usually 3,000 to 15,000 words, that captures everything an AI would need to know about your business to produce on-brand, accurate, specific output. Company voice, product knowledge, past-work examples, failure modes, audiences. You paste it into your Claude Project, Custom GPT, or Gemini Gem as the primary knowledge file, and from then on every prompt to that tool runs against that context.

Below is the template I use with clients. Copy it, fill it in with your real content (do not sanitize, specificity is the whole point), and paste the result into whichever AI tool your team runs on. You will see a measurable jump in output quality inside a week.

Copy the markdown below into a Google Doc, Notion, or a text file. Replace every bracketed field with real content from your business. Longer and more specific is better, do not worry about polish.

This document is the primary context for any AI tool that writes, responds, or makes decisions on behalf of [COMPANY NAME]. When an AI is reading this, treat the following as ground truth about the business.

## 1. Who we are

One paragraph describing [COMPANY NAME], what we do, and who we serve. Written the way you would explain the company to a sharp peer in a different industry. No marketing fluff.

Example shape:

## 2. Our voice

How we write, how we sound, what we avoid.

**Tone:**
- [e.g. "Direct, not aggressive. Opinionated but not arrogant. Warm but not cute."]

**We use:**
- Short sentences when we can
- Concrete, quantifiable claims
- Plain English over jargon
- [Other specifics]

**We do not use:**
- "In today's landscape" / "In the era of X" / "As organizations increasingly..."
- Corporate euphemisms (leverage, unlock, utilize, empower)
- Emojis in professional contexts
- Three-part parallelism as a default rhythm

**Signature phrases or cadences:**

## 3. Our products and services

List of offerings with one-sentence plain-English descriptions.

For each, include:
- Target customer
- Typical engagement size or duration
- What the deliverable actually is
- Common objections we address

Who we communicate with, segmented by the shape of their problem, not by job title.

## 5. Proof and numbers

The specific, verifiable claims we make about outcomes.

Rule: if it cannot be sourced to a specific project, client, or verifiable source, do not include it.

## 6. What "good" looks like, with examples

Paste 3 to 5 actual past outputs that exemplify the voice and quality we want.

The specificity here is the whole point. Do not summarize, do not sanitize. Paste the real thing.

## 8. Key people and their roles

Who works here, what they own, and how to refer to them.

Include the founder's specific background if it matters to positioning.

## 9. Current priorities and constraints

What the business is actively working on right now. Refresh this section quarterly.

## 10. How to handle edge cases

Guidance for when the AI is not sure what to do.

- When the user seems to be a bad-fit prospect: [how to handle gracefully]

## Notes on using this context library

- Paste the whole thing into the Project Instructions / System Prompt / Gem setup of your AI tool. Most modern tools can hold 50,000+ tokens of context easily.
- Refresh it every 3 to 6 months. Businesses change, and stale context produces stale output.
- If a section feels thin, that is diagnostic. It means the company has not explicitly decided what goes there yet. Filling it in is itself a useful forcing function.
- Specificity beats elegance. A messy paste of a real past email beats a polished summary every time.

How to actually use this

  1. 1. Fill it in over 2-3 sessions, not one. Section 6 (“what good looks like, with examples”) is the highest-leverage section and the hardest to do quickly. Block out an hour just for that one.
  2. 2. Paste the whole thing into your AI tool's context. Claude Projects accepts knowledge files. Custom GPTs accept an Instructions field plus knowledge. Gemini Gems accept an Instructions field. Modern context windows easily hold the whole template.
  3. 3. Test with a real prompt. Run a typical ask against the tool with the context loaded. Compare to the same ask without the context. The gap is why context engineering beats prompt engineering.
  4. 4. Refresh quarterly. Businesses change. Stale context produces stale output. Put a calendar reminder every 3 months to update sections 5, 8, and 9 at minimum.
