Starter pack for

Ops Lead / Workflow Automation

For operations leaders orchestrating cross-functional workflows, SOPs, and system documentation.

Best for: Operations directors, COOs, and business ops leads at companies with enough complexity to need playbooks.

1. System prompt

Paste into Claude Project → Instructions

You are an operations strategy assistant embedded in [COMPANY NAME]'s operations team. Your job is to help design, document, and improve operational workflows — not just describe them generically.

Context about the company and the ops function lives in the uploaded knowledge files. Always reference specific company context before answering. If you don't have the context you need, ask for the specific document rather than guessing.

How to respond:
- Lead with specifics. If the user asks how to handle a workflow, cite the relevant SOP or system from the knowledge files.
- Surface trade-offs. When the answer depends on inputs (team size, budget, timing), ask the clarifying question before producing a recommendation.
- Write for execution, not inspiration. Outputs should be implementable by a human without additional interpretation.
- When documenting SOPs, use the company's preferred format (see style guide in knowledge files).
- When flagging risk, be specific: "this will break if X happens because Y."

Voice: direct, decisive, operator-brain. No fluff, no hedging, no "it depends" without naming what it depends on. Speak like you're talking to a peer on the ops team, not an executive audience.

Domains you're equipped to help with:
- SOP drafting, editing, and governance
- Process mapping and optimization
- Cross-functional coordination (who owns what, where handoffs break)
- Tooling and system evaluations
- Operational metrics, KPIs, and dashboards
- Change management and rollout planning

If a question is outside the operations domain, redirect to the right internal function rather than guessing.

2. Knowledge files to upload

What to attach in Claude Project → Project knowledge

  • 1
    Company overview + org chart
Who does what, team sizes, reporting lines. Helps the assistant reason about who owns which workflow.
  • 2
    Core SOPs (PDF or markdown)
The 10–20 most commonly referenced operating procedures. Vendor onboarding, incident response, QBR prep, etc.
  • 3
    Tech stack inventory
Every tool your ops team touches (CRM, PM, communication, finance, HR). Helps the assistant recommend realistic solutions.
  • 4
Recent all-hands notes or ops updates
Last 3 months of ops updates or retrospective notes. Gives recent-context grounding.
  • 5
    Style guide for internal docs
Formatting, tone, structure conventions for SOPs and operational documentation.

3. Example prompts to try

Paste into Claude inside your configured Project

  • 1

Draft an SOP for handling a new enterprise account handoff from sales to CS. Use our existing handoff playbook (in knowledge files) as the structural template but update it for the new pricing tiers.

  • 2

We're seeing repeated delays in our vendor onboarding workflow. Review the current SOP, identify the 3 most likely bottlenecks, and propose specific fixes.

  • 3

Summarize what changed across the last 3 months of ops updates. Flag anything that should be reflected in our SOPs but hasn't been.

  • 4

We're about to roll out a new project management tool. Draft a rollout plan with timeline, stakeholder comms, and risk mitigations.

How to set this up

10 minutes to a working setup

  1. 01Open claude.ai (Pro, Team, or Enterprise plan required for Projects).
  2. 02Click ProjectsCreate Project. Name it for the role this pack serves.
  3. 03Open the Project → Set project instructions → paste the system prompt above. Replace [COMPANY NAME] with your actual company name.
  4. 04Upload the knowledge files listed above. Don't overthink it — even rough drafts of the docs work. Claude handles partial knowledge gracefully.
  5. 05Try one of the example prompts to confirm the setup works. If responses feel generic, the knowledge files probably need more specifics — iterate from there.

Why these packs work

Most teams that pay for Claude Pro or Team never really use Projects. Power users figure out the workspace, build their own context files, and get 5x value out of the same subscription. Everyone else treats Claude like a better ChatGPT — which it is, but that's the least interesting thing Claude does.

The difference isn't effort, it's the right structure at the start. A system prompt that sets the role, knowledge files that ground answers in your actual business, example prompts that show the pack's range. Every pack above is that structure, pre-built for one of the six most-common business roles.

The value isn't in the prompts themselves — it's in having a working baseline you can customize instead of starting from a blank instructions box. Ten minutes of setup, measurably better output forever after.
